For the student graduating this spring or for the dentist in practice a year or two, my message is the same. The best investment you can make in your future is to hire and keep the highest quality staff. A dentist new to the role of employer may have neither received the human resources training of the needed skills to attract, interview, and hire quality staff nor received legal advice on how to perform as an employer who is legally in compliance with federal and state laws.

To schedule quality, stress-free days, a dentist needs to provide a range of effective financial options for patients that allows them the ability to prepay in full or make small monthly payments to an outside finance company. The choice is the patient's. Both options benefit the patient/dentist relationship. I ask dentists to take themselves out of the banking business. Eliminate financial choices that allow patients to borrow money from you, often interest-free. I doubt many of you receive such interest-free service from your vendors, landlord, and suppliers. By carefully creating a range of financial options allowing your patients to take care of their financial responsibilities in the methods covered here, you should be able to schedule some wonderful extended appointments, and enjoy performing more dentistry on fewer patients while building quality relationships.

Whether payments for service come in the form of patient cash or checks, or insurer payments, it is paramount that a doctor implement a strong accounting system to disclose all daily financial transactions. It is also essential that a strong audit trail be part of this accounting system. By taking a few minutes at the end of each day to do the necessary review, dentists protect their income and provide one of the best protections an owner can have against embezzlement. Let the staff know you are on top of the books!
Check out the local newspapers for well and poorly written ads and any wages being listed. Analyze past applicants' resumes you have on file to see if you already have a qualified person on tap. Look within your current staff to see if there is a possibility of promoting from within. Design a plan for how you will inform/involve your staff. Does your staff know of any potential applicants. Set up the best method by which applicants will respond to the ad. Decide who will do initial culling of resumes and then make the first contact. Select the quality time within which to schedule the initial and follow-up interviews. Ensure all interview forms and techniques and legal considerations are current. Make a commitment not to compromise your standards or rush or sabotage the hiring process.
